East Grinstead Camera Club – Competition Rules

In this revision “ PDI” is an abbreviation for Projected Digital Image
It is the aim of the Club to encourage as wide a variety of work as possible since versatility reflects the skill of the photographer. This aim will be frustrated if entries from individual members become unduly repetitious. Members are encouraged to enter their latest work and not to submit slides, prints or PDI files that are more than three years old. However, there is no restriction on the age of the negative, slide or digital file used for making a print; slides older than three years are acceptable in the slide panel/sequence competition.
For the assessment of compliance with competition rules, the Competition Secretary will be the final arbiter for any print, slide or PDI file submitted for entry. The Competition Secretary will endeavour to inform any member if their work is not in compliance with the rules before the competition date.
For competition purposes members are classified into two sections for prints (A and B). Slide and PDI competitions will each comprise of one section.
1. Section A is for advanced print workers who have demonstrated their ability by competing in Section A previously or by holding RPS F or A distinctions or by submitting a panel of prints which, in the opinion of the Committee, similarly demonstrates their ability. Promotion to Section A is automatic for members who win the Claire Field Cup for prints in Section B.
2. Section B is for those print workers who have not qualified for Section A as described above.
The Club will hold the following competitions during each season:
1. Five monthly competitions, each in the three divisions, Prints, Slides and PDI’s in each of which members may submit two entries per competition. The following trophies will be awarded to the entrants gaining the most points over the five competitions in any one division (see “Scoring” over page):-

3. Additional “of the Year” trophies in which members compete in one section. These competitions will be run between the monthly competitions on different months throughout the season. Dates for these competitions appear in the Club’s Syllabus.

4. Additional End of the Year Award
J.S.Johnson Trophy is awarded to the member with the highest aggregate of points in the B Section of the monthly competitions who has never previously won a Club annual award (including the current season).
Competition Numbers
On joining the Club new members will be given a membership/competition number which is to be used to identify their entries to all competitions. Members’ names must also appear on their entries. Each member will retain the number from year to year whilst they continue in paid-up membership.
Submission of entries
Entries to all competitions, of prints, slides and PDI’s, must be made, to the Competition Secretary, at least one week prior to the date of the competition to qualify for entry, unless requested earlier by the Competition Secretary. Late entries will not be accepted. The exception to this rule is that print panel entries only the panel entry form is required in advance (see rules referring to panel competitions.)
Condition of entry – Prints
Prints in all sections may be monochrome or colour and may be trade or home processed or digitally printed.
All entries must be original and images and must have been taken by the entrant. No form of digital clip art is permitted.
A print (or modified print from the same negative or slide) may be submitted only once in the monthly competitions.
Prints from slides that have been entered in the monthly slide competitions may not be entered in a monthly print competition.
When a digital file has been used to make a competition print, that file cannot subsequently be used in a PDI competition.
Prints must conform to the following requirements to qualify for entry to competitions:
Print Mounting
· All entries must be mounted with a suitable adhesive on a card mount that may be of any colour.
· The mounting and finishing must be the work of the entrant.
· Glass mounts and frames are not allowed.
· Prints must not be submitted in paper folders or slip-in mounts.
Print Size
· The size is to be limited to 50cm. x 40cm including the mount.
· An exception to this size restriction may be applied in the Print Panel Competition (Peter Fenton Trophy) whereby prints may be of any size, as long as they fit as a whole panel on the display board provided by the Club. Please note that any such prints over the 50cm x 40cm will not be eligible for entry in any other club or external competitions.
Print Labelling
· All entries must bear, on their reverse side, a competition entry label, obtainable from the Competition Secretary, showing the member’s name, competition number and title (printed).
· If the entrant does not wish the title to be announced it is to be enclosed in brackets and used for identification only and will be announced as ‘No title’.
Condition of entry –Slides
Slides in all sections may be trade or home processed.
All entries must be original images taken by the entrant. No form of digital clip art is permitted.
Slides may only be submitted once in the monthly competitions.
Slides that have been used to produce prints, or slide copies of prints, that have been entered in the monthly print competitions may not be entered in a monthly slide competition.
Slide Mounting
· All mounts must be 50mm. x 50mm. (2” x 2”). Mounting in glass is optional.
Slide Labelling
· All entries must bear a coloured spot in the lower left-hand corner on the viewing side. The slide must be labelled with the member’s name and competition number. Slides must be submitted with a slide competition entry form, obtainable from the Competition Secretary, showing the member’s name, competition number and title (printed). If the entrant does not wish the title to be announced it is to be enclosed in brackets and used for identification only and will be announced as ‘No title’.
Conditions of entry – Projected Digital Images
All images must be the original work of the entrant, including each element where the image is achieved
by combining more than one element.
Where images have been achieved using Layers, they must be flattened before submission.
The image size should be a maximum of 1400 pixels wide by 1050 pixels high and in .jpg format. No other formats
will be accepted.
File naming is most important and must adhere to the following convention:
<semi-colon>+<entrants name><semi-colon>+<image title>
For example ;Ann Other;Tower Bridge
Images must be submitted one week before competition to allow for preparation of competition.
Entries can be handed in on flash drives or CD. E-mails will not be accepted.
Images that have previously been entered in Print or Slide competitions are illegible
Scoring – Monthly competitions
The judge will award marks out of 20 for each entry and the Competition Secretary will keep a record of the marks awarded. In each section the overall winner of the five monthly competitions will be the entrant who has gained the most marks. In the event of a tie the winner will be the entrant with the largest number of entries scoring 20 points and the 19 etc.
Additional conditions of entry for all “Print/Slide/PDI of the Year” competitions
Members may submit up to TWO entries in each year’s competition for which they are qualified.
In the principal Print/Slide/PDI of the Year competition entries must have been entered in one of the current year’s monthly competitions. Points will not be awarded in any of these competitions. Only a winner, second and third places may be chosen at the judge’s discretion.
For the Record Print/Slide/PDI of the Year competition entries may have been entered in monthly competitions but may only be entered in one category, ie, Print, Slide or PDI in these competitions.
To qualify for Record Print/Slide/PDI of the Year competitions the following rules apply: -
· The subject should be of an architectural/illustrative record and not include subjects of a natural history/nature nature.
· There should be sufficient information contained in the picture to be able to recreate the subject it required. i.e. ‘A faithful reproduction as far as is photographically possible’.
Portrait Print/Slide/PDI of the Year competition entries may have been entered in monthly competitions but may only be entered in one category, ie; Print, Slide or PDI in these competitions.
To qualify for Portrait Print/Slide of the Year competitions the following rules apply: -
· ‘Creatures other than human beings shall not be eligible for entry in these sections.’
Nature Print/Slide/PDI of the Year competition entries may have been entered in monthly competitions but may only be entered in one category ie: print, slide or PDI for these competitions.
To qualify for Nature Print/Slide of the Year competitions the following rules apply: -
· The subject may depict observations from all branches of natural history. It can include any natural phenomena including geology oceanography etc. The inclusion of human on man-made objects within the picture is to be discouraged. Photographs of domestic animals, cultivated plants and floral arrangements are ineligible. The photograph should convey the essential truth of what the photographer saw at the time it was taken. No radical changes should be made to the original image, nor additions from any source, whether during processing in the darkroom, or through digital/electronic manipulation. The removal of minor blemishes or distractions is permissible. All entries must be properly identified (twee titles are unacceptable). The nature competition rules are in line with the Surrey Association Nature rules.
Set Subject Competitions
There will be three separate competitions one for prints, one for slides, and one for PDI’s Entries may have been entered in monthly competitions but may only be entered as a print, slide or PDI for these competitions.
The competition will be Open i.e. all entrants compete in one section.
In each competition there will be two set subjects and each entrant MUST submit TWO ENTRIES for EACH SUBJECT (four entries in all) to be eligible for entry.
Print size is to be limited to 50 cm. x 40 cm. including the mount.
The judge will award points out of 20 for each entry and an entrants total will be the sum of all their four scores. The winner will be the entrant with the highest total but in the event of a tie the winner will be the one with the largest number of entries with 20 points, then 19 points, etc.
Print, Slide and PDI Panel Competitions
Print, Slide and PDI Panel competitions entries may have been entered in monthly competitions but may only be entered in one category ie; print, slide or PDI panel for these competitions.
Each entry shall consist of a panel of six individual prints (colour or monochrome), six slides or six PDI’s illustrating a theme of the entrant’s choice and titled accordingly. Prints, slides and PDI’s will not be marked individually but the panel considered by the judge as a whole and only the panel title will be read out.
Prints will be displayed in two rows. If they are to be displayed in a particular order they must be accompanied by a hanging plan or numbered accordingly, the top row being 1 to 3 and the bottom row 4 to 6. Due to the large numbers of prints that may be entered in this competition print entries are to be delivered on the night but competition entry forms (obtained from the Competition Secretary) submitted at least one week prior to the date of the competition.
Rules on size are relaxed for the Print Panel. Please refer to Conditions of Entry paragraph regarding print sizes.
If slides are to be projected in a particular order as a sequence, they must be numbered accordingly.
Points will not be awarded and only a winner, second and third will be chosen.
If an entrant is submitting panels in both the Print, Slide and PDI competitions the themes for the three competitions must be different.
